FAQ

Where is my data stored?
Once a call is completed, the call data is encoded & compressed, time stamped and temporarily saved to built in memory within the unit. After a connection with broadband is confirmed a secure connection with the server is established, then the data is encrypted and sent to the server.

What if my broadband/internet connection is dead?
In the event of our system not being able to communicate with any of our Servers, data can be stored on the built in memory. Once a connection is re-established the data will be uploaded as it would when normally connected.

Will it slow my internet & email down?
As our connection selects 'free' or residual bandwidth only, it should automatically choke or slow our connection as not to have any adverse effects of any of your network connectivity or broadband, email or download speeds.

When can I check my calls online?
Anytime. The Voiceproof Servers are online virtually 100% of the time. They are only ever switched off for short periods of time to carry out routine maintenance and software / firmware updates.

Where can I check my calls from?
Anywhere that has an internet connection, worldwide. As long as you can install your certificate onto the web-browser you are using, you can view call logs and listen to any calls stored, and delete if you have the correct authorisation.

Can I make my own announcement ?
You can record any announcement you wish to greet your incoming callers. There will be a standard Voiceproof greeting that will inform the user that they may be recorded, if you decide to over-write this, we recommend that the announcement says something similar and still informs the user they may be recorded.

What if it stops working?
Voiceproof has a large, growing dealer and installer network. Any units that are faulty will be replaced with a new one as soon as possible - the customer will not be expected to pay for the replacement as long as they are within contract.

What if I have 2 sites - can I make calls for free over VOIP?
The technology is in place on our units to make any inter-site calls, from one Voiceproof box to another, over Broadband for free. This will be a free firmware upgrade for all existing customers and any new customers.

Do I have to have an 0870 national number?
No - Our systems do not require you to change your number to record incoming or outgoing calls. All are recorded.

Can I record my analogue lines ?
Yes, we can supply units to connect to both ISDN2 phone lines and the older analogue types for older systems.

Can anyone accidentally view or change my call data ?
Our systems only allows users with a valid certificate to view calls. Once calls are loaded onto our system they cannot be altered and are tamperproof.

What if the Voiceproof Server crashed ?
Once your data is uploaded to our Server, it will find a 'buddy server' to synchronise data with. Your data will always be stored on at least 2 different servers, usually in different geographical locations.

How many hours of calls can I store ?
As a Voiceproof customer, you have unlimited storage capacity.

Why Will It Reduce Liability?
By recording all of your inbound and outbound calls your organisation will reduce the risk of expensive lawsuits by easily resolving any disputes that may arise between you, your customers and suppliers. By replaying the call to both parties it will be evident who is at fault and enable you both to resolve the dispute. You will always have evidence of what was, and wasn’t said.

How Will This Improve The Quality Of My Business?
Recording your calls will allow you to listen to customer service calls, sales calls and responses to any marketing campaigns that you may run. You can then play these calls back to your staff and improve their skills in dealing with these calls. Listening to the right way and the wrong way to deal with calls allows you to train your staff on the exact areas that they need to improve upon.

Do I have to let people know that I intend to record their telephone conversations with me?
No, provided you are not intending to make the contents of the communication available to a third party. If you are you will need to inform the caller that you are recording the call. Recording or monitoring calls is only prohibited where some of the contents of the communication is made available to a third party, i.e. someone who was neither the caller or sender nor the intended recipient of the original communication.

Does a business have to tell a person if they are going to record or monitor phone calls?
No. as long as the recording or monitoring is done for one of the above purposes the only obligation on businesses is to inform their own employees. If businesses want to record for any other purpose, such as market research, the business will need to inform the caller that the call is being recorded.

Can I record telephone conversations on my home phone?
Yes. The relevant law, R.I.P.A. does not prohibit individuals from recording their own communications provided that the recording is for their own use.
